As an administrator of Mobilise by Gigged.AI, you make sure the platform runs smoothly, supports your organisation's workforce and AI strategy, and delivers value to managers and employees. Mobilise breaks projects into tasks and matches each one to the best person, AI agent, or blend of both, and your setup and oversight keep those matches accurate.

Your role and users

1. What is my role as a Mobilise admin?

You oversee the platform and make sure it's built into how your organisation resources work. This includes managing users, overseeing projects and their task matches, maintaining the inventory of skills and AI agents, analysing platform data, and making sure managers and employees get value from Mobilise.

2. How do I set up and manage user accounts?

  1. Log in to the Admin dashboard.

  2. Go to the User section.

  3. From here you can:

    • Add new users, both employees and managers.

    • Deactivate or reactivate accounts when people leave or rejoin the company.

Keeping users and profiles up to date improves the accuracy of task matching.

3. How can I make sure employee profiles are accurate?

Mobilise captures each person's skills in under two minutes and maps them to a taxonomy of 40,600+ technology skills. To keep that data reliable:

  • Encourage employees to update their profiles regularly with new skills, certifications and experience.

  • Run reports to find incomplete profiles and follow up with those users.

  • Share guidance on building profiles that reflect their full range of skills and career interests.

Projects, matching and agents

4. How do I oversee projects and their quality?

You can see every project and role on the platform. When a manager submits a brief, Mobilise breaks it into tasks and matches each task to a person, an AI agent, or both. To keep quality high:

  • Review briefs: check that each one has clear deliverables, required skills and realistic timelines. Better briefs produce more accurate tasks and matches.

  • Monitor compliance: make sure managers post work in line with company policy and that opportunities are distributed fairly.

  • Edit or remove projects: if a project is incomplete or doesn't meet guidelines, edit or remove it from the Admin dashboard.

5. How do I manage AI agents on the platform?

Mobilise keeps a registry of every AI agent in use across your function, alongside your people's skills. Agents are mapped to the same skills taxonomy, so they can be matched to tasks just like people. As an admin, you help keep the registry complete and accurate, so leaders can see which agents are deployed and where they add value.

Where your organisation has no suitable agent, managers can also pick a pre-built agent from the Gigged.AI library.

6. How do I tailor matching and platform settings?

You can tune Mobilise to fit your organisation, for example by updating your company-specific skills library. Add, remove or rename skills so the inventory reflects the capabilities your organisation actually needs.

Data and insights

7. What data and metrics can I track?

Measure gives you real-time dashboards on how people and agents are being used. Key metrics include:

  • Utilisation: how many employees are matched to internal tasks, projects and roles.

  • Skills gaps: where demand for a skill is high but internal availability is low.

  • Agent deployment: which AI agents are actively used and which sit idle.

  • Engagement: how often managers and employees use the platform to create projects or apply for work.

  • Success rates: how often matches lead to successful project completions or placements.

The dashboards are detailed enough for day-to-day decisions and clear enough for board or procurement reviews.

8. Can I query Mobilise data from other tools?

Yes. Mobilise has an MCP that connects to AI assistants including Claude, Copilot and ChatGPT. You can ask questions about skills, agents and projects without leaving the tools you already use.

Supporting your people

9. How do I monitor employee workload?

Make sure employees taking on extra tasks through Mobilise aren't overloaded:

  • Track participation: see how many tasks and projects each employee is working on alongside their main role.

  • Flag potential overloads: set thresholds for project involvement that alert managers when someone may be overcommitting.

  • Talk to managers: make sure they check workload with their teams before approving more project work.

  • Matching issues: if people aren't matched to relevant tasks, check their profiles are complete and accurate, and review the skills library.

  • Technical issues: report bugs or system errors to Gigged.AI's support team.

14. How do I integrate Mobilise with other tools?

Mobilise works inside tools your teams already use, such as Jira, Copilot and Slack. Depending on your plan, it can also connect to systems like Workday, ServiceNow, Salesforce and Atlassian. Consider linking it with:
